How to use Tourlix, task by task

A hands-on walkthrough with real screens. Guides: run a tour, get paid, share your profile. Admins: set your company up. Follow the numbered steps — each one matches a screen you’ll actually see.

01Guide

Run a tour, start to finish

From creating the session to closing it once everyone has paid. This is the core of a guide’s day.

  1. Create the session. Go to Sessions → New Session, pick the tour and set the date and time. It starts as Scheduled.
  2. Add attendants. Open the session and tap Add Attendant — enter the name, number of people, cash or card, and the booking source (a platform, or walk-in).
  3. Confirm & remind. Mark who showed up with Confirm, and send a WhatsApp reminder to bookings that haven’t arrived with Remind.
  4. Record what you collected. Enter the amount collected and any Notes about the tour.
  5. Close the tour. When it’s over, close it — the session moves to Completed and its settlement is calculated automatically.

See what you earned

Every completed tour becomes a settlement with your share worked out. Here’s how to read them and get the monthly total.

  1. Open your dashboard. The top cards show today’s sessions, pending settlements and this month’s earnings at a glance.
  2. Go to Settlements. Each tour lists your guide amount and its state: CalculatedConfirmedPaid.
  3. Open one for the breakdown. You’ll see total collected, platform fees, the company’s share, and what you keep.
  4. Get the monthly total. Period Summary groups everything by month — ideal for a quick month-end check.

How the number is reached: platform fees = people × the provider’s per-person rate (walk-ins are free); net = collected − fees; the company keeps a set % (28% by default); you keep the rest. Private/VIP tours have no provider fees.
03Guide

Share your profile & collect tips

Give travelers a link to your profile and each tour, and let them tip you — no app or account needed on their side.

  1. Open My Links. The Share section holds your public profile link and a card for each tour.
  2. Send it. Share via WhatsApp in one tap, or copy the link to paste anywhere.
  3. Your public profile. Travelers see your bio, languages and the contact/social links you chose to show.
  4. Tips. Your Tip your guide buttons (PayPal, Revolut…) appear right on the profile and the tour card.

04Guide

Set up your profile

Everything on your public page comes from Settings — fill it once and keep it fresh.

  1. Profile. Write your bio, add the languages you guide in, and your socials (Instagram, TikTok, website).
  2. Get paid. Add your payout details — IBAN, PayPal, Revolut, Bizum — for tips and settlements.
  3. Control visibility. Toggle exactly which fields appear on your public page.
  4. WhatsApp templates. Save reusable messages with placeholders (tour name, date, meeting point, link) for fast reminders.

05Admin

Set your company up

A one-time setup by the admin. Once this is in place, guides just run tours and everything else follows.

  1. Add your countries & cities. Under Countries and Cities, add every place you operate in.
  2. Create tours. Under Tours, add each tour — public or private VIP — with duration, capacity, language and meeting point.
  3. Add providers. List your booking channels (platforms, walk-ins) under Providers.
  4. Set commission rules. Define the company’s share % (28% by default) and any per-person fee per provider.
  5. Invite your team. Under Users, add guides and admins; deactivate anyone who should no longer log in.

06Admin

Schedule tours & assign guides

Admins put tours on the calendar and pick who runs each one. Guides then see their sessions and take it from there.

  1. Open Sessions. Under Sessions you see every scheduled tour with its guide, date and status.
  2. Create a session. Pick the tour, set the date & time, and assign the guide who’ll run it.
  3. Track it. Status moves ScheduledIn progressCompleted; attendants and the collected amount fill in as the guide works.

07Admin

Confirm & pay settlements

When a tour completes, Tourlix works out the split automatically. You review it and release the payout.

  1. It’s calculated for you. Each completed tour becomes a settlement — provider fees, the company 28% share, and the guide payout.
  2. Confirm. Review the numbers in Settlements and hit Confirm on a Calculated payout.
  3. Pay. Once you’ve sent the money, mark it Paid. The guide sees the status change in real time.
  4. Watch the business. The Dashboard shows revenue and activity at a glance.

Put it on your phone

Tourlix installs like an app — full screen, its own icon, no app store.

Android (Chrome)

  • Open Tourlix and log in
  • Tap Install on the login screen (or Chrome menu → Install app)
  • The Tourlix icon lands on your home screen

iPhone (Safari)

  • Open Tourlix in Safari
  • Tap ShareAdd to Home Screen
  • Open it from the new icon for full screen
Log in with the same email and password you use on the web — your sessions, settlements and profile are all right there.

Quick answers

A booking didn’t show up — what do I do?

Just don’t confirm them. Only confirmed people count toward the collected amount and the settlement.

Why is a settlement still “Calculated”?

The tour is done and the numbers are ready, but your admin hasn’t confirmed the payout yet. It moves to Confirmed, then Paid.

How are private/VIP tours different?

They skip provider fees entirely — only the company’s share applies to the net amount.

Can I change the company’s 28%?

Yes — an admin sets it in Commission Rules. 28% is only the default.

Do travelers need an account?

No. Your public profile and each tour card are open links — they can view and tip without logging in.
